Meeting Room Booking & Scheduling SystemsThat End Room-Hunting
We design and install meeting room booking panels and scheduling systems that show real-time availability outside every room, integrate with your calendar, and stop meetings being lost to double-bookings and no-shows.

Why AVolution for Room Booking & Scheduling
Wasted meeting rooms are a quiet but expensive problem: bookings that never happen, rooms held “just in case”, and staff wandering the floor looking for somewhere free. A good scheduling system solves this at a glance, with a panel outside the door that shows exactly what’s happening now and next.
We install room booking and scheduling panels as part of a wider AV and collaboration setup, so they work properly alongside your Microsoft Teams Rooms, Zoom Rooms or Google Meet systems, not as a bolt-on afterthought.

Room Booking Systems That Simply Work
A booking panel should answer one question instantly: can I use this room right now? Everything else follows from that.
Our installations prioritise:
Scheduling Systems for Different Spaces

Boardrooms & Executive Meeting Rooms
Premium touch panels showing full-day schedules, attendee lists and one-tap booking extension for high-demand executive spaces.

Standard Meeting Rooms
Compact scheduling displays outside every meeting room, giving staff instant visibility of availability without opening a calendar app.

Huddle Spaces & Desk Pods
Simple traffic-light style panels suited to high-turnover, informal spaces where speed matters more than detail.

Training Rooms & Multi-Use Spaces
Scheduling systems that handle recurring bookings, longer sessions and room reconfiguration alongside standard meeting use.
Built for Accuracy, Integration & Simplicity

Calendar Integrated
Panels sync directly with Outlook, Google Calendar or Microsoft 365, so what’s on the panel always matches what’s in the diary.

Simple to Operate
Staff can see, book or release a room with a single tap, no app download or separate login required.

Data You Can Act On
Usage reporting shows which rooms are over- or under-used, supporting better space planning across your building.

FAQs
What is a room booking panel?
A room booking panel is a touch display mounted outside a meeting room that shows its current and upcoming availability, and usually allows staff to book, extend or release the room directly from the panel.
Do room booking panels integrate with Microsoft Teams, Zoom or Outlook?
Yes. We install panels that sync with Outlook, Microsoft 365, Google Calendar and most major room booking platforms, and that work alongside Teams Rooms, Zoom Rooms and Google Meet installations already in the room.
Do we need occupancy sensors as well as a booking panel?
Not always. Sensors add real-time occupancy data on top of calendar bookings, which is useful where “ghost bookings” or unbooked usage are a problem, but many organisations get most of the benefit from calendar-integrated panels alone.
Is this the same as your Room & Building Management service?
Room booking and scheduling panels are one part of the wider Room & Building Management picture, which also covers building-level systems like lighting, HVAC and energy monitoring. This page focuses specifically on meeting room booking and its integration with your video conferencing systems. See our Room & Building Management page for the broader smart-building service.
